Series XIV: Accounting and Finance [restricted for 75 years], 1997-2000

Scope and Content

Accounting and financial materials have been maintained in their original order, with each subseries reflecting the contents of a binder or box. The records range from budgets to tax returns, and include such documents as invoices, copies of cancelled checks, deposit slips, expense reports, and bank statements. Other materials include correspondence, copies of agreements and royalty statements.

Series XIV: Accounting and Finance is restricted from use for 75 years, or until 2085.

Subseries 1: “New York City 100 Chart of Accounts” Binder [restricted for 75 years], 1997-1998

Scope and Content Note

Consisting primarily of invoices, expense reports and spreadsheets, this subseries is organized by account. Most of the major sections are preceded by summary sheets. There are many item duplicates. The contents of Box 10, Folder 6 focus on contributions. There are lists of contributors, correspondence and copies of checks, as well as internal memoranda and transmittals. Box 11, Folder 6 represents items that were not filed within the binder tabs, but were loose or contained in the binder pocket. Among this group are a Skyline Corporate Voucher Agreement, invoice logs, a handwritten ledger book and a number of receipts.

Scope and Content Note

The binder represented by this subseries is divided into categories and contains copies of New-York Historical Society financial documents concerning invoices paid. Examples of the categories are Advertising, Consultants, Equipment Lease, Printing, Supplies and Website. Within Box 11, Folder 8 are two copies of an invoice from the CPA firm – Berson & Corrado –responsible for the New York City 100’s accounting and tax services. These invoices were not filed within any category, but were loosely contained in the binder.

Subseries 3: "PAYCHEX” Binder [restricted for 75 years], 1999

Scope and Content Note

Payroll information for two employees of the New York City 100 – Marie Salerno and Natasha Caba – is contained within this subseries. Invoices and correspondence related to payroll processing by the company Paychex, Inc. are also included. A variety of computer generated printouts such as Payroll Journal, Department Summary, Time Sheet, Deposit Report and Employee Earnings Record are among those contained in Box 11, Folder 9. The materials in this subseries all fall within the mid- to late 1999 time frame.

Subseries 4: Expense Activity Binder [restricted for 75 years], 1997-1999

Scope and Content Note

Contained within a large black binder were bills, statements, invoices, copies of checks, correspondence and other items related primarily to New York City 100 expenses. Subseries 4 includes these documents. Most of the material is arranged alphabetically by the name of the vendor or individual paid. There are, in addition, two sections labeled “Expenses”, which contains original expense reports, and “Chase CD’s”, with statements relating to CD balances (Box 12, Folder 7). Box 12, Folder 8 holds items that were not filed within the binder but contained in its front pocket. One of those items is the organization’s Special Event Liability insurance policy.

The bulk of the items within this subseries are dated 1999 although there are some with 1998 dates and a few, 1997.

Subseries 5: Miscellaneous Financial Records [restricted for 75 years], 1997-2000

Scope and Content Note

This subseries is made up of folders and loose items contained within the New York City 100 “Accounting and Finance” materials (i.e., documents not contained within binders). The folder titles shown below are those assigned by the organization although the contents do not always reflect the folder title. It appears that many of the items had not been filed by the time the organization completed its mission. Many are dated late 1999 and into 2000.

Within the subseries are a wide variety of document types such as invoices (including ‘final’ bills), correspondence, bank statements, deposit slips, handwritten ledger sheets, PAYCHEX printouts, copies of checks, expense reports, lists of contributions, general ledger reports, budgets, payment schedules, tax returns, handwritten notes and draft documents. Box 13, Folder 3 contains blank stationary and envelopes.
