Historical Note

Time is the first magazine created by Time Inc. with the first issue published on March 3, 1923. Time Inc. cofounders Henry R. Luce and Briton Hadden shared the masthead as Editors until Hadden's death in 1929. At this time, John S. Martin became the first Managing Editor of  Time with Luce still over him as Editor. According to the Ownership Statements in the General Administrative Files, the earliest publisher of  Time was Time Inc., not an individual.

According to Time Inc., Time pioneered the news magazine, at least the modern news magazine.  Time's format of short articles summarizing news events and other items of interest and importance became the standard for later news magazines. Magazine sections included national and international affairs, business, education, science, medicine, law, religion, sports, books, and the arts.

Time published several foreign-language editions, the first launched in 1941 delivered by air service to Latin America; special issues including the popular  Time Person of the Year (formerly Man of the Year); and  Time for Kids, a children's magazine.

For the majority of Time Inc.'s existence, the company maintained a strict separation of editorial from the publishing and business side of each magazine, colloquially called the separation of "church" (editorial) and "state" (publishing). Publishing and Business Management includes the publisher, general manager, business manager, advertising sales, marketing services, letters, circulation, and public relations. Cofounder Henry Luce structured Time Inc. this way so that the business side could not (in theory) influence the editorial content of the publications. For example, the advertising sales people could not interfere with a magazine's decision to run an article on the dangers of cigarette smoking, even though it might mean losing millions of dollars in tobacco ads.

The Time Publishing and Business Records contain records from offices and staff from the publishing and business side of the magazine, not the editorial side. This includes the office of the business manager, departments in charge of advertisement promotion, advertising sales, advertising placement, circulation, an educational materials subscription program, and public affairs.

While this record group would contain files from the Publisher or General Manager if present, none were found. It is probable that any existing records from these two offices are in RG 1. Time Inc. Subject Files.

Conditions Governing Access

Open to qualified researchers with the exception of restricted materials. Restricted materials include contracts, medical records, student records, and records with personally identifiable information. Restricted materials are located in boxes R26 and R56. Materials in box R28 are restricted due to mold. Unreformatted audiovisual material and digital material in the collection is not accessible. Materials are stored offsite and advance notice is required for use.

Conditions Governing Use

Taking images of documents from the library collections for reference purposes by using hand-held cameras and in accordance with the library's photography guidelines is encouraged. As an alternative, patrons may request up to 20 images per day from staff.

Container List

Series I. Office of the Business Manager Files, 1929-1977. 12.25 Linear feet in 13 record cartons

Biographical / Historical

The Office of the Business Manager was primarily responsible for the accounting, bookkeeping, and advertising pricing of each Time Inc. franchise. The Business Manager reported to the General Manager, when present, who reported to the Publisher.

On the earliest paperwork retained from 1929 in the Ownership Statements files, W. W. Commons is listed as Assistant General Manager. Ownership statements from 1932 to 1940 list him as the Business Manager. In 1941 William Hoeft takes over through 1947. Eric Hodgins is listed as General Manager in 1942. In 1948 James Thomason becomes the Business Manager. Assistant Business Manager Kelso Sutton took over as Business Manager around 1962 or 1963 and remained in this role through 1968 when he moved on to become Time General Manager. According to the Department Head Lists in the Time Inc. Reference Files, John P. Keller holds the post of Business Manager for a year before Lucy Werner takes over by early 1970. She remains Business Manager through 1972 or 1973 and is no longer in the role by 1974.

The title of Assistant Business Manager is not listed in the 1970 Department Head List. The listing returns by 1972 and includes John Howard through 1974. There are no lists from 1975 to 1977, but on the January 1978 list, Howard is the Time Business Manager. Ron Dronzek appears on the January 1978 list as an Assistant Business Manager, but by November of that year he has been promoted to Business Manager.

Scope and Contents

This series contain administrative records from Time Business Managers William Hoeft, James Thomason, Kelso Sutton, and Lucy Werner; Assistant Business Managers John Howard and Ron Dronzek; along with  Time staff personnel files created by this office. The records document financial decisions for the publication of the magazine.

The earliest records are ownership statements in the General Administrative Files. These forms were required by the Post Office to be filed annually by publishers of magazines. The statements list the publisher, editor-in-chief, managing editor, business manager, and major stockholders.

Biographical / Historical

According to the Time Inc. staff newsletter FYI, William Hoeft had been the Time Business Manager for six years when he transferred to the Time Life International foreign desk as business manager in 1947. James Thomason took over for Hoeft at that time and served until he was promoted to  Time General Manager around 1963.

Scope and Contents

Business manager James "Gus" Thomason's files were originally in roughly chronological runs of files with some of the same titles appearing in each year similar to Sutton's files. Records include correspondence and interoffice memoranda regarding staff salaries and bonuses; advertising rates and studies; operations for advertising sales, promotion, and distribution; and Life's service charges to  Time.

Some records from Thomason for 1963 to 1964 are among folders of his successor Kelso Sutton. The similar labeling and arrangement of Thomason's and Sutton's files look like they were kept by the same third person, perhaps an administrative assistant.

Subseries I.B. Business Manager Kelso Sutton Files, 1962-1964. 0.75 Linear feet in 1 record carton

Biographical / Historical

Kelso Sutton served as Time Assistant Business Manager from 1962 maybe through 1963. By mid-1964 he took over from James Thomason as Business Manager and remained in this role through 1968 when he moved on to become  Time General Manager. Sutton held several other roles at Time Inc. eventually becoming a board member, the executive vice president of the Magazine Group then president of the Books Group.

Scope and Contents

Business manager Kelso Sutton's files look similar to Thomason's files. Records include correspondence and interoffice memoranda regarding staff salaries and bonuses; advertising rates and studies; operations for advertising sales, promotion, and distribution; and Life's service charges to  Time.

Some records from the prior business manager James Thomason for 1963 to 1964 are in Sutton's files. The similar labeling and arrangement of Thomason's and Sutton's files look like they were kept by the same third person, perhaps an administrative assistant. Along with Thomason's, there are some folders from Assistant or Associate Business Manager Rose Epstein with the same label format. It appears that her files, as an assistant, were integrated into Sutton's and Thomason's as the head of the office.

Biographical / Historical

In 1969 the Department Head List shows Lucy Werner in the Comptroller's office as an accounting assistant. By early 1970, she is the Time Business Manager, a role she holds through 1972 or maybe 1973. By 1974, she is in Corporate Administration as the head of union relations.

Scope and Contents

Lucy Werner's files seem to focus mainly on international offices and publication of Time primarily in Canada and Australia. Records include correspondence and interoffice memoranda with the international offices and expense and profit projections.

Scope and Contents

John Howard's files document financial decisions for the publication of Time edition distributed in Canada. The records include papers from the managing director of  Time Canada Stephen LaRue.

Records discuss business operations, Canadian staff, and the proposal to close Time Canada due not being able to comply with content regulation requirements in Canadian bill C-58. Records include financial statements, a submission to the special senate committee on mass media, a presentation created for parlimentary hearings on bill C-58, and correspondence with the Canadian business office.

Biographical / Historical

The Advertising Promotion Department promoted the magazine to appeal to advertisers, although this department is separate from the Advertising Sales Department.

Scope and Contents

The Advertising Promotion Department Records contain files from Promotion Director Robert Fisler, Executive Promotion Director Dave Aubrey, Promotion Director Richard Coffey, and assistant to the director Alan Martin. The records document this department's efforts to attract advertisers, market testing, and presentations to the advertising sales staff.

Biographical / Historical

According to his files and the department head lists, Robert "Bob" Fisler was in the Corporate Circulation Department as an assistant to Time Promotion Writer William Baring-Gould prior to 1950. From 1950 to 1955 he was in  Time Circulation as the Promotion Manager. From 1956 to 1961 he was in  Time Advertising Promotion as the Promotion Manager, the top role in the department. By 1962, his title had changed to Promotion Director while still remaining the top role. One of his duties was writing the copy in the circulation promotion mailings.

A letter in his 1959 Personal folder refers to him as the Sports Illustrated Promotion Director, and his records contain some  Sports Illustrated materials. He may have briefly done side work for at this publication. In 1966 he moved to  Life Promotion as the Promotion Director.

Scope and Contents

Fisler's files span the period he was employed at Time through his transition to   Life. The majority of his office files are from  Time. Although there are records from both of his roles the Circulation Department and the Advertising Promotion Department, his files were not separated as such, and this series is listed under his later position with Advertising Promotion.

Originally his files were loosely separated into a mixture of office files from Time and  Life, speech files, personal files which contain both personal and business correspondence, and material from his aunt's company St. John Associates Inc.

Additional Williams College material is in the Personal Files. Some materials on  Life date from before he transferred roles.

The Life Space Tour was similar to the Time newstours of the United States, but were specific to space installations such as NASA and the U.S. Air Force bases. Guests included executives of America's leading consumer goods corporations. The purpose was to give the executives a complete understanding of why the space program is so complex, expensive, and rewarding to the country.

Personal Files include folders titled "Personal" which are a mix of personal bills and correspondence and business correspondence and memoranda; files on Fisler's banking and club memberships; and files on St. John Associates Inc., a direct mail service in Manhattan owned by his aunt Helen V. Fisler. St. John Associates files include newsletters, ad cards, and client mass mailings which may be personal collecting on a family business or may be materials he used to assist him in his own job. It isn't clear if St. John Associates and Time Inc. had a business relationship in the 1950s and 1960s, but the Time Education Program used them as one of their mail services in the 1970s.

Scope and Contents

Speeches include copies of speeches given by Fisler along with collected copies of speeches given by others. Speeches were on the topics of sales, advertising, and marketing, and audiences included staff from various Time Inc. publications and attendees of national sales conventions, university events, and advertising clubs and associations. This subseries includes several speeches by Time Inc. president Roy Larsen.

The 1955 file contains a speech by Advertising Promotion Director Nicholas Samstag on the topic of "Time's Greatest Promotion Asset."

Series III. Promotion and Public Affairs Department Records, 1955-1999. 155.1 Linear feet in 156 record cartons, 1 document case, and 2 flat boxes

Biographical / Historical

Time Promotion and Public Affairs seems to be the most robust public affairs department after Corporate Public Affairs. It handled several events that promoted Time Inc. as a company as well as a magazine, such as: coordinating travel and accommodations for Time Inc. staff and corporate guests when Time Inc. was a sponsor of the Olympics; organizing major annual conferences and symposiums like the Housing Industry Presidents' Conference; and overseeing projects and initiatives such as the Distinguished Speakers Program and the Time-Life Academy of Transition.

Up until 1967, there is no mention in the corporate structure of Time magazine of a public affairs department.  Time did have a marketing department and an advertising promotion department since the earliest saved Department Heads List in the Time Inc. Reference Files.

While Robert Sweeney is listed in the 1966 Department Heads List as an assistant to the Time publisher, he signs off as a member of  Time Public Affairs in his 1966 files. It is possible public affairs was within the Publisher's Office even earlier, but not recorded as part of the structure.

Beginning in 1967, Sweeney is officially listed as the Time public affairs director under Management along side of the publisher, general manager, and business manager. He continues to appear with this title through 1969. In 1969 the Advertising Promotion Department drops the word "Advertising" and becomes the Promotion Department.

In 1970, Sweeney moves over to the newly established Corporate Public Affairs, and no one is listed as part of Time Public Affairs. No magazine lists its own public affairs department, and it is possible public affairs services were centralized.

In 1972 public affairs reappears as Promotion/Public Affairs headed by director C. Lane Fortinberry who is also an assistant publisher, and Robert Ankerson as the director of public affairs. Former promotion staff are also part of this department.

By 1974, the department is called General Promotion, still headed by assistant publisher Fortinberry and listing some of the same staff. The department now oversees special events and an art director. By 1978 Sweeney takes over as the director of General Promotion and holds this title until 1982. Also by 1978 General Promotion has added a publicity director.

By August 1983 General Promotion and Public Affairs have split into separate offices. George Berger takes over as the director of General Promotion, and Sweeney is listed as the director of Public Affairs overseeing the public affairs manager, the publicity manager, and the special events manager. GP oversees the promotion manager, creative director, and art director.

By 1985 Berger is replaced by Katherine Erskine and the position of creative director disappears.

By the end of 1987, Promotion and Public Affairs are again one office with Daniel Brewster as Promotion & Public Affairs Director. The office oversees the business planning manager, art director, public affairs manager, promotion manager, and special events manager.

The Time Promotion and Public Affairs document the organizing of special events and functions for both for Time Inc. and  Time staff and events that included guests from outside of the company; organizing advertising competitions; photographs of internal and public events; and a decade of press releases. Biographical / Historical

According to his files, Robert Sweeney worked on publicity for Fortune and  Life from 1956 to 1962, then special projects for  Life in 1963. According the the Department Head Lists for 1960 to 1961, he worked in Time Inc. Corporate as a publicity assistant. This role may have assisted all magazines. According to his obituary in the July 30, 1990 issue of the company newsletter  FYI, Sweeney was appointed the creative projects director for  Life in 1960.

By 1964, Sweeney signs off as the Time director of public relations. In 1966, the Department Head List records him as an assistant to the  Time Publisher.  Time has no public affairs position at this time, and the role may have been handled by the publisher's office until Sweeney is listed under  Time Management as the Public Affairs Director in 1967. He holds this job until 1970 when he moves to Corporate Public Affairs.

According to VP of Corporate Public Affairs Donald Wilson's files, Sweeney returns to Time Public Affairs (now called General Promotion) in 1976 taking over as the director of General Promotion. His title changes to Worldwide Director of Public Affairs and Special Events in 1983. According to  FYI, he retired in 1986. His obituary in  FYI gives him credit for the creation of the newstour and proposing the bicentennial issue.

Files include some records from Stan Kapner, the associate director of public affairs; Putney Westerfield, a Time assistant publisher; Robert Krefting, later an assistant to the news service chief of correspondents, but here signs off as part of Public Affairs; and Ellen Stancs, who signs off as part of Public Affairs. Although some folders are completely records from these other individuals, the majority are Sweeney and Kapner, and it seems the files belong to Sweeney as director.

Records include correspondence sent to Publisher James Shepley and President James Linen, probably forwarded for Public Affairs to handle; invitations to major news events such as the Apollo 8 launch; planning materials for community relations events organized or sponsored by Time such as the unofficial collegiate presidential primary vote called Choice 68; and arrangements for meetings between  Time staff and prominent invidivuals.

Biographical / Historical

The Time Inc. department head directories list Irina Bagration as Special Events Manager from 1974 to 1980 and Public Affairs Manager from 1981 to 1983.

Scope and Contents

The majority of Irina Bagration's files are in the Events Files from her tenure as Special Events Manager since they were mixed together with files from others in the department. These files are the only of hers found on their own. Some of the exhibition files are from after Bagration left Time Inc., but have been left in place as found.

Bagration's files document the gift of the Time cover art to the National Portrait Gallery and subsequent special exhibitions of cover art to celebrate  Time's 60th anniversary. The exhibitions took place as "Britain 1923-1983: an American View" at GLC Royal Festival Hall in London and as "L'Amerique Regarde la France 1923-1983" at the Centre Georges Pompidou in Paris. Records include brochures, correspondence with public affairs staff at the venues and European press consultant, the art specialists writing the wall text, invitations to the receptions, press releases, press clippings, and slides.

Time magazine sponsored the interview series "The Creative Edge: An Exploration of the Arts" presented by New York University's School of Continuing Education and directed by Richard Brown. Interviewees included Arthur Miller, Rudolf Nureyev, Stephen Sondheim, Helen Hayes, Tom Wolfe, Philip Johnson, and Yousuf Karsh.

In 1989, instead of naming a Man of the Year, Time had an issue for Planet of the Year which had a related a conference and exhibition at the National Aquarium in Baltimore.

Biographical / Historical

Changing Face of Time was planned to be a traveling exhibition from the  Time art collection which whad been donated to the National Portrait Gallery.  Time held a private preview, and the 1989 Publisher's Conference had a test exhibition. It isn't clear if the full exhibition traveled as anticipated from 1992 to 1993. The New-York Historical Society expressed interest in being a venue.

Witness to History: 150 Years of Photojournalism was a traveling photography exhibition organized by  Time and sponsored by Eastman Kodak. The exhibition accompanied a special issue of  Time and featured 100 photographs from the issue. The exhibition opened in Washington, D.C. and traveled to venues in Washington, Los Angeles, Chicago, Boston, and New York.

Biographical / Historical

In the 1988 and 1992 United States presidential election years, Time magazine created and sponsored a student mock election as an education project participated in by students from 50,000 schools. Prior to mock election night (five days before the actual presidential election)  Time produced and sent out teaching guides to stimulate classroom discussion on the voting process and current political issues. With participation from HBO, CNN and others,  Time staged and televised a live broadcast on C-SPAN of returns from the local and main headquarters manned by students.

Opinion leader mailings were an effort to call to the attention of targeted opinion leaders articles in Time which point to editorial excellence.

Biographical / Historical

Jack Mulligan and Alex Burnham are not listed in the Time Inc. department head lists. According to correspondence to Jack Mulligan, he was appointed to the position of Time Publicity Manager in 1967. His sign off on the Early Edit Briefs indicates this position was part of Public Affairs. Based on the records, Alex Burnham took over as Publicity Manager in mid-1969.

Scope and Contents

The Publicty Manager Files includes records from Jack Mulligan and Alex Burnham. Records include correspondence and memoranda with other Time Inc. departments such as Corporate Public Affairs and the Time publisher; and with heads of advertising from other companies. Correspondence and memoranda include material forwarded by the Director of Public Affairs for the Publicity Manager to handle. Mulligan's files contain some from his previous position at the marketing company Young & Rubicam including his service on a USIA task force.

The celebration for Time's 75th anniversary in 1998 was a gala at Radio City Music Hall including dinner, dancing, and tributes to past cover subjects by notable people including Toni Morrison, James Watson, Steven Spielberg, Mikhail Gorbachev, Bill Gates, Mary Tyler Moore, and Bill Clinton, including an Alvin Ailey American Dance Theater performance as a tribute to Duke Ellington.

Biographical / Historical

Early files name her as Nancy Hall until she marries in the late 1960s and becomes Nancy Megan. As early as 1969, Megan signs off as part of the Time public affairs department. In 1980, she signs as the manager of promotion operations. The Department Heads List includes her as the Promotion Manager from 1981 to 1984 and in 1985, she is called the Associate Promotion Director. By 1987, she is no longer listed as working at Time Inc.

Scope and Contents

Nancy Hall Megan's files document her work on organizing promotional exhibitions featuring art owned by Time Inc., particularly Time cover art, and the revival of the advertising competition "Power of Print."

Scope and Contents

Exhibition Files includes materials on exhibitions created by Time. Most of the exhibitions are shown at venues other than the Time & Life Building. The earlier files are from business manager John Keller, his assistant Ann Bellows, public affairs director Robert Sweeney, or are unspecified. Later files are from  Time promotion and special events staff Nancy Hall Megan. A note from Bellows to Megan in a Boris Artzybasheff folder indicates Megan took possession of the earlier non-Cover Art files.

The Time Cover Art Show files are primarily from Megan, quoted as "handling the cover show bookings for Time domestic," though files prior to 1967 are from Keller or Bellows. A note from Bellows to Megan indicates the tour files were kept by Megan although earlier files may have been created by Bellows.

The Time Cover Art Show had several tour iterations grouped by year spans based on existing divider tabs. Iternations included subsets of tours so that each venue did not received the same collection of cover art. The title of the exhibition could change based on venue and the tours are rarely referred to by official titles. Repeated titles used include  Cover Artists and  Contemporary Portraiture from the Covers of Time.

"Loans from" in the 1968-1970 tour include records on cover show items lent to other exhibitions or limited versions of the Time Cover Art Show which are not considered part of an official touring show. Cover art loan files from other years were included among the tour grouping at the time the loan occurred even if the loan was not related to the touring show.

Records in the Individual Shows sometimes state one is similar to another one or reference an exhibition in Chicago on the Ad Age, but it does not look like these are all part of the same organized tour.

Records include internal and external correspondence, catalogues, brochures, press releases, artwork inventories, photographs of exhibitions and related events, shipping invoices, and other related bills.

Scope and Contents

This was the principal exhibition for the summer of 1969 at the National Portrait Gallery (NPG) shortly after the opening of the NPG. Time Inc. would donate its cover art collection to the NPG less than ten years later in 1978. Records include lists of art objects, correspondence, acceptances and regrets of invited cover subjects, invitations, catalogues, a poster, and reception photographs.

Biographical / Historical

"Power of Print" is a revival of an earlier competition where Time offered free space to advertising agencies to see what they would do with it. The first iteration began in 1969. The initial market for new ads was Washington, DC with the project name "It's a Capital Idea."

Scope and Contents

This series only includes records for the competition in Washington, Atlanta, and Boston, but there are booklet invitations to participate for Chicago, Cleveland, Detroit, Florida, Philadelphia, Pittsburgh, San Francisco, and St. Louis. Records include the announcement of a revival, invitations to participate, submissions from agencies, correspondence with agencies, ad mock-ups and revised advertisements. Submissions #3 and #9 are missing for Washington.

Jelmir Lucas's files contain her work as the Time Olympic Coordinator for the 1988 games in Seoul and Calgary when Time Inc. was a sponsor, preliminary work on the 1992 winter games, and her planning binder for the 1989 Executive News Conference in Washington, D.C. The records include coordination of Olympics tickets, travel, and accommodations for Time Inc. staff and corporate guests; ads created from the Student Olympic Challenge; copies of itineraries and schedules for the events; and Olympics and Korean guidebooks. Lucas's records include some files from Jean "Nini" Gussenhoven who may have been filling in for her in New York while Lucas traveled to South Korea for pre-arrangements.

"Make Time for Time" was an advertising campaign for Time magazine created by the agency Lois/GGK in 1989. It included showcasing  Time's covers in 15-second television ads.

The records are all audiovisual material. The audiocassettes with 72 seconds of audio may be a radio advertisement. The videocassettes titled "The Berlin Wall" with 15 seconds of video may be a television advertisement using the November 20, 1989 Time cover. Also included is one videocassette of 13 "spots," probably television ads, plus another "spot" from May 15, 1990 called "No Bars or Slates."

Scope and Contents

The Event Files include files from Time Public Affairs and Promotion staff on the planning and implemetion of events, both for internal participation and events that invited outside guests. Events include anniversaries of the magazine; award ceremonies; conferences; seminars; dinners and lunches honoring special visitors; parties and receptions; presentations and other talks. There are also files that collected information on Henry Luce's funeral and other memorial events. Certain events are described in more detail within the container list.

These files either have no known specific creator or including materials from several people within the department. Staff represented include Public Affairs directors Robert "Bob" Sweeney and Robert Ankerson; associate director Stan Kapner; general promotion manager Lane Fortinberry; special events manager Irina Bagration; Trade Publicity Manager Rita Robinson; and Public Affairs and Promotion staff Nancy Hall Megan, Julia Fay and Bill Baring-Gould. There are also some materials from staff outside of Public Affairs such as ad sales manager Robert Gordon and ad sales staff Reginald Brack.

The celebration for Time's 40th anniversary was a dinner at the Waldorf Astoria in Manhattan including almost 300 cover subjects as distinguished guests. Records include booklets listing the cover subject guests and containing messages from the United States President and Vice President, guest lists, invitations, a description of the film of the dinner, copies of the program and seating list, and speech transcipts.

Half of the materials were found loose along with the Henry Luce funeral material and needed to be foldered, and half are copies pulled from Archives and may have been reference for a later anniversary. Since it wasn't clear if this was the use, these materials are included here.

1969 is stated to be the 15th annual conference although the earliest materials in the collection are from the 1968 event.

The event was hosted by the Time Inc. board chairman, the Time publisher, and in later years the head of Time Inc. subsidiary lumbar company Temple Industries. Speakers included U.S. Secretary of Housing and Development and members of the Congress subcommittee on housing. It was attended by heads of builder and utility associations such as Edison Electric Institute, National Association of Home Builders, and American Plywood Association; builders like Fox Jacobs; suppliers like Reynolds Aluminum; heads of mortgage lenders; and board members from the Federal Reserve System. Topics discussed included housing policy, how to provide better housing for needy families, how to keep the mortgage market steady with adequate capital, and eliminating non-productive costs.

Records include agendas and itineraries, invitations, participant lists, arrangements for accommodations and travel, conference programs and other distributed materials, copies of the post-conference publication, budgets and bills, and branded printed material. Biographical / Historical

According to a history written up by Time Inc. in 1990 when considering reviving the newstour program, newstours were created by Time magazine in 1963 to give a small group of thirty to fifty American leaders the opportunity to visit areas of the world in the news and meet with local leaders. The newstours were arranged by Time Inc., funded by the participants, and encouraged by the U.S. government, though they played no role in the tours.

Participants were invited because of their expressed interest in world affairs and because they were known to be citizens seeking opportunities to contribute to global stability and world peace. The primary purpose was inquiry rather than commercial or economic information. Participants were heads of their fields in industry, education, community affairs, and other professions; each paid their own expenses and relied on the Time publisher's office and public affairs department with assistance from local  Time news bureaus to arrange the program and meetings with international leaders in politics and culture. Newstour participants notably met with: John F. Kennedy, Richard Nixon, Nikolai Khrushchev, Ferdinand Marcos, and Eisaku Sato.

Time also sponsored a 1973 visit for Japanese business executives to Detroit and a 1970 trip to Tehran for an economics conference. "Update on America" and "Report on America" were opportunities for foreign business executives to travel to the United States and meet with  Time journalists, American business leaders, and government representatives. Newstours that traveled the United States were sometimes called "reverse newstours."

Scope and Contents

Newstour Files contain records created by Time Public Affairs during the planning and realization of newstour trips. Papers and Books and Binders were not found together although both groups seem collated by Public Affairs or from Public Affairs files. The majority of photographic material documenting the newstours was separated by  Time Public Affairs, and is in the series Public Affairs: Photographs and Negatives.

The files planning and overseeing newstours for Time look like someone (either  Time Public Affairs or the Time Inc. Archives) collected all the newstours files from everyone in  Time Public Affairs and grouped them together by newstour. People represented include Public Affairs directors Robert Sweeney and Robert Ankerson, associate director Stan Kapner, special events managers Irina Bagration, Rita Robinson, and Nini Gussenhoven, and Public Affairs and Promotion staff Elizabeth Jones, Jim Roy, Anne Rhoades, Nancy Hall Megan, Patricia Donham Hodges. Early newstour files have records from  Time publisher Bernie Auer, assistant publisher Lawrence Laybourne, Sweeney as an assistant to the publisher, business manager Kelso Sutton, assistant business manager John Keller, and Robinson as Laybourne's executive assistant.

Records include itineraries and agenda; lists of and biographies on participants; collected information on the tour locations; cable correspondence; correspondence with participants, staff on location, foreign governments, companies, and other representatives; correspondence with accommodations and transportation providers; interoffice correspondence; travel brochures and guides; information on memento gifts sent to participants; hotel information; invoices and bills; memoranda to file; programs and menus for events at visited locations; business cards; and branded stationary, stickers, and luggage tags. Some materials from earlier newstours are in later newstour files, probably for reference or research purposes during planning. Rebilling files includes bills sent by Time Inc. to participants for their share of the tour costs and frequently include notes of appreciation from the participants.

The General files contain materials related to several different newstours and a binder on the history of the newstours, and may have been collected at a later date for reference in planning a new newstour.

It was ultimately canceled due to lack of acceptances to participate and conflict with the annual meeting of the Industrial Conference Board. It is possible that ideas from this tour were reconstituted in the 1971 Report on America (which had many of the same locations) and the Time Survey 1973: Japan/USA.

Scope and Contents

Photographs and Negatives contain photographic material requested and collected by Time Public Affairs. The materials document events thrown by Time Inc. or  Time magazine such as office parties, corporate gatherings, presentations or appearances by  Time staff, art exhibitions, and newstours; or attended by Time staff such as annual expositions and political conventions.

Records include primarily negatives, contacts sheets, and photographs produced by Time Inc. photographer Tony Ruta. The majority of photographic material is black-and-white. Additional materials include Photographic Laboratory order forms, slides, sticky notes, newstour itineraries, and a very small amount of correspondence.

Based on similarity in folder labels to dated materials, undated materials are estimated to be from the 1980s.

Scope and Contents

The Press Release materials contain official press releases regarding published Time articles, on matters of interest at  Time magazine, and releases only distributed to European news outlets.

Press release on published articles summarized upcoming politics and economics articles, including excerpts from interviews with notable subjects Henry Kissinger and Jimmy Carter. There is also a section of summaries called Time Top Stories. The topics of these press releases are American-centric. Press releases are foldered by individual article title and sometimes have the full article text attached. The years 1983 and 1985 for press releases about articles are not present.

Press Releases on Time include biographies for Time-Life editors and correspondents, staffing changes, introduction of new sections, circulation increases, and information on special advertising campaigns. The files include some memoranda to  Time staff and some press clippings on  Time's 60th anniversary. Examples of announcements include being the first American newsmagazine to circulate in China as of August 1979, and the introduction of the Video and Design section in 1981 and the Computer section in 1982. Biographies include a short background and photograph of several Time-Life editors or correspondents, notably Stanley Cloud and James Atwater.

Press release for other countries contain releases for foreign editions of Time or news outlets outside of the United States including in Asia, Europe, the Middle East, and the Soviet Union.

Scope and Contents

The Distinguished Speakers Program commenced in 1984 with President Ronald Reagan speaking at his alma mater Eureka College in Illinois. The program was created by Time Public Affairs to celebrate  Time's 60th anniversary, and funded by Corporate Public Affairs. It was "intended to bring to campuses throughout the United States a variety of newsmakers who have appeared on the cover of TIME." Other speakers represented include Philippines president Corazon Aquino at New York University, Congress representative and vice president candidate Geraldine Ferraro at the University of Wisconsin/Madison, and Canada prime minister Brian Mulroney at the University of Chicago.

The Distinguished Speakers Program files are from Public Affairs Coordinator Jean "Nini" Gussenhoven for the 1984 inception lecture, and Special Events Manager Rita Robinson for the continuation through 1986. These files were housed together by the Time Inc. Archives so are kept together here instead of separating them by the file owner's job title.

Scope and Contents

In the invitation for a private showing at Radio City Music Hall, the film Since Time Began is described as "a nostalgic review of the role of newspapers, magazines, radio, film and television since the early 1920's when TIME first set out to record the news of the week." Various promotion staff served as the film crew including assistant to promotion director Alan Martin as the film's director and producer. Prints of the film were sent out on request for viewing in places such as universities by journalism or media classes and companies to show to their sales teams.  Time received requests to show up through 1980. Records include the first draft titled  Time To Know, bills, scripts, invitations, and showing lists.

Scope and Contents

The Time-Life Academy of Transition opened in September 1968 in central Harlem. It was part of a New York Urban League initiative called Street Academies to help students complete high school.

Scope and Contents

According to Henry "Hank" Luce III's speech at the dinner, the "Power of Print" project began in 1969 when Time explored offering free space to advertising agencies to see what they would do with it. The initial proposal was to run 50 submissions. He states that the project became "a vehicle of public service" as agencies ran ads such as a call to "Save our Planet" and a tearsheet questionnaire that could be mailed to the White House. During his speech, Luce announced that the project would be extended.

Scope and Contents

Promotion Realia contains eight box packages of an audio cassette and poster related to the Rolling Stones tour created by Time Promotion. According to former  Time Promotion staff, the Rolling Stones mailing was sent to selected advertisers and friends of Time. Sales people would also hand out the package while on sales calls.

Scope and Contents

The General Files include files found mixed together either with no known creator or including materials from several people within Time Public Affairs. The chronological groups of files were originally in two groups. The first group includes records from Public Affairs director Robert "Bob" Sweeney; associate director Stan Kapner; publicity manager John "Jack" Mulligan; and public affairs, publicity, and promotion staff Elizabeth Jones, Nancy Hall (later Nancy Megan), and Kerry Arnold. While it has some materials from earlier dates, it looks like the files were created between 1967 and 1970.

The second group dates from 1990 to 1991 and includes records from Public Affairs director Anne Janas; Communications director Jennifer Epstein; and Public Affairs coordinator Pat Donham Hodges. It isn't clear if or how Public Affairs and Communications were connected, if they were under the same departmental umbrella, but Janas, Epstein and Hodges were working together on the Environmental Challege exhibit and fund. Hodges signs off at different times both as part of Public Affairs and Communications.

Additional general Public Affairs files found not related to any other files are added after the two chronological groups.

Scope and Contents

The Time Advertiser Record Cards include microform and physical cards. The majority of the records are on microfilm. The dates refer to the original material and not the creation of the microfilm.

For the microfilm, advertisers are divided into the domestic and international editions. The domestic advertisers are on ten reels and list advertisers from the original American edition. The international advertisers are on eleven reels and list advertisers from the various international editions such as Canada, Asia, SoPac, Latam, and Atlo. Each record card contains the date of issue for the advertisement, size of ad, if it is in black-and-white or color, and the cost. size of ad, if it is in black-and-white or color, and the cost.

Physical cards from 1974 are divided into Demographic, Metropolitan, National, and Regional. These cards are an example of the cards that were microfilmed. The cards list the advertiser, salesman, and advertising agency.

Adv. Contr. Hist. Rep. are on microfiche and might be duplicates of the 1974 physical cards or might be another report on advertisers. The abbreviation could mean Advertising Contract History Report. This microfiche was found with the 1974 cards.

Arrangement

These records remain in the original order. The microfilm was stored together, and the physical cards were stored with the microfiche.

The microfilm is grouped by domestic and international. Within each group, the imaged cards are organized alphabetically by the name of company or organization placing ad, not by the name of the product.

The physical cards are in four original groups which have been placed in alphabetical order. Within each group, cards are organized alphabetically by the name of company or organization placing ad, not by the name of the product. The microfiche is at the end as a possible duplicate of the physical cards and remains in the original chronological order.

Series V. Circulation Department Records: Director Bernhard M. Auer Files, 1936-1960. 0.25 Linear feet in 1 record carton

Biographical / Historical

Bernhard "Bernie" M. Auer was Time Circulation Manager from at least 1949 through 1955. In the earliest retained Department Head List from 1949 in the Time Inc. Reference Files, this position is listed under the Time Inc. Circulation Department. By 1951 the corporate department has disappeared, and the position is overseen by the magazine. By April 1959, he is signing as Circulation Director. Auer is promoted to  Time Publisher in 1960.

Scope and Contents

Circulation Director Bernhard "Bernie" Auer's files include additional material included in Time or sent out separately from the magazine along with several subscriber surveys, mainly for new subscribers. The surveys included questions on behaviors and demographics such as age, marital status, and income in an attempt for  Time to understand who wanted the magazine and how to appeal to future subscribers.

Series VI. Production and Ad Records Department Records: International Ad Files, 1982-1988. 12 Linear feet in 12 record cartons

Scope and Contents

Staff who created or received these records include International Ad Records Manager Robert Parlapiano and International Ad Production Manager Thomas Crusie, both part of the Production and Ad Records staff according to the Time Inc. Department Head Lists in the Time Inc. Reference Files; along with Angela Licausi and Martin Barbieri, listed in the records as responsible for international accounts. Parlapiano is also listed as responsible for international accounts so it is presumed Licausi and Barbieri are part of Production and Ad Records.

Records include correspondence to and from companies and their agency representatives, invoices, insertion orders for ad campaigns and ad placements; along with and lists of corporations, products and insertion dates and files on special section advertisements. While the staff handle the international ads, there are insertion orders that list placements for domestic editions along with the international editions of for all editions of Time.

The Advertisers files represent over 500 companies. If a major company existed in the 1980s, it is probable that a files exists for it. Examples of companies include Apple, BMW, British American Tobacco, Hyatt, IBM, ITT Sheraton Corporation, Heineken, Honda, Japan Airlines, KLM Royal Dutch, Kuwait Airways, Lombard North Central, Martini & Rossi, Matsushita Electric, Minolta, New Zealand Post Office, Ricoh, Rolex, and Rupert International.

There are gaps in the alphabetical ranges of Advertisers files. Files marked as from 1983 contain some records from late 1982. Files marked as from 1988 contain some records from late 1987. One folder from 1984 was found among the 1988 files and moved to its chronological location.

This series is organized chronologically by year and alphabetically within each year. Some companies were filed by the last name of the purveyor instead of by the full name of the company (e.g., Henry Birks & Sons Ltd.)

The arrangement is basd on the original order of the Advertiser files which were grouped by year then alphabetically arranged within each year instead of having continuous client files. Files other than Advertiser files were originally in no order.

Biographical / Historical

The Time Education Program was a subscription service that published teaching aids for educators focusing on content within Time magazine. It was designed for and geared toward the high school level. An October 1972 issue of  FYI reports on the the program moving from Corporation Circulation Promotion to  Time Promotion. Invoices from 1979 have stamps of payment from Corporate Circulation so it isn't clear if the program stayed within  Time with corporate support or moved back to a corporate department.

Time Education Program Files include the correspondence and administrative records documenting the running of the program and the mailings sent out to subscribers.

Correspondence primarily has comments from subscribers, requests for program publications and multimedia kits, and responses from the program.

Scope and Contents

Mailings contains the material sent to subscribers to the Time Eduation Program including Teachers' Guides to Time and teaching aids. Teachers' Guides to  Time in the form of newsletters published weekly concurrently with issues of the magazine. They include summaries of the magazine, teaching points, and bibliographies. Teaching aids are a small topical magazines on current events or ideas such as nuclear power, presidential primaries, utopia, China, and Islam. They include a editor's note, articles, teaching strategies, a bibliography, posters and other handouts, and sometimes a quiz. Some issues contain evaluations of the materials for educators to complete.
