Historical Note

For the majority of Time Inc.'s existence, the company maintained a strict separation of editorial from the publishing and business side of each magazine, colloquially called the separation of "church" (editorial) and "state" (publishing). Publishing and Business Management includes the publisher, general manager, business manager, advertising sales, marketing services, letters, circulation, and public relations. The editorial side reported up to the editor-in-chief and the publishing/business side reported up to the corporate business executive who was the president prior to 1960 and the chief executive officer after that. Henry Luce structured Time Inc. this way so that the business side could not (in theory) influence the editorial content of the publications. For example, the advertising sales people could not interfere with a magazine's decision to run an article on the dangers of cigarette smoking, even though it might mean losing millions of dollars in tobacco ads.

In February 1936, Luce came up with the idea of creating a picture magazine. Luce proposed his new magazine concept to Time Inc. executives. At first, the group thought that Luce wanted to increase the number of pictures include in Time or that he wanted to add a supplement to the magazine but Luce was adamant that he wanted to create a magazine focused on photo journalism. While the executives were suspicious, Luce knew the idea could work. Luce's faith in the concept came from his experience with  Fortune.  Fortune, itself, was almost a photo journalism magazine and had been innovative in its use of photography. If these advances could be combined with  Time's editorial content,  Life could be a success.

After doing some initial research and testing, Time Inc. published the first issue of Life on November 23, 1936. In the original proposal to the board, the magazine would be the same size as the  Illustrated London News and printed on shiny paper with around 200 high-quality photographs recording significant current news events including detailed captions. By presenting the images in this fashion, Luce hoped that the reader would be able to both enjoy what they were seeing but also be able to study the images to gain a logical understanding of what was happening in the world around them.

At the magazine's launch, it would cost 10 cents per issue, or $3 per year for a subscription. Based on the price of the magazine, they decided to name it Dime, The Show-Book of the World but quickly decided to change its name. According to Elson, staff and charter subscribers were asked to submit other names, and the title  Life was suggested by both cofounder Henry Luce's wife Clare Luce and Time Inc. president James Linen's father. Since the name was already in use by another publication, Luce purchased it in order to acquire the rights.

The first staff members in 1936 were Luce as managing editor, John Martin as Luce's alternate and proposed sucessor as Life's managing editor, Daniel Longwell as picture editor, Alfred Eisenstaedt and Peter Stackpole as staff photographers, and Mary Fraser as copy chief. Despite a strong staff and a good concept, the magazine's financial outlook was ambiguous. Based on their pre-launch research, they knew that circulating the magazine wouldn't be a problem since most readers were attracted by the pictures and wanted to purchase the magazine to find out more. The real problem was figuring out how to turn a profit.

If Life followed the example of magazines like  Time and  Fortune then the way to make a profit would to be to rely on magazine subscriptions to cover the costs of printing and publication. Because of the high cost for making  Life, doing this would make the magazine too expensive for the average reader. Instead of relying on subscriptions,  Life would rely on advertising to bring in the needed revenue. With this idea in mind, the money made from the magazine's circulation would be used to cover the cost of printing the magazine but advertising revenue would cover everything else.

During Life's run, it was one of Time Inc.'s most successful ventures in terms of subscriptions and reader response but struggled with production and financing. Even though  Life was popular, Time Inc. could not financially sustain production of  Life and suspended its production as a weekly magazine in December 1972. Almost as soon as production was suspended, Time Inc. began planning  Life's revival. The Magazine Development department published the first  Life special in 1973 as a newsstand magazine followed by nine more. Time Inc. revived  Life as a monthly in 1978. In 2000, publication was again suspended, but revived in 2004 as a newspaper supplement. In 2007, Time Inc. completely ceased printing of  Life and created a website for images from the collection.

Open to qualified researchers with the exception of restricted materials. Restricted materials may include contracts and consent forms. Restricted boxes include R27 and R42. Materials in box 3317 are sealed due to mold.

Materials are stored offsite and advance notice is required for use.

Conditions Governing Use

Taking images of documents from the library collections for reference purposes by using hand-held cameras and in accordance with the library's photography guidelines is encouraged. As an alternative, patrons may request up to 20 images per day from staff.

Processing Information

The Time Inc. Life Publishing and Business Records were processed by Samantha Brown and Holly Deakyne in 2019. Deakyne processed additions to the Circulation Department in 2020. The original folders were retained although some documents were transferred to archival containers in the instances of overcrowding or no original folder was present. Items that were originally housed in binders were also rehoused in folders. Binders were kept if there were distinguishing features on them. Brown and Deakyne created the inventory and other descriptive notes. Within series, materials were maintained in their original order. Files retained their original titles but folders with illegible writing or unclear titles were either assigned new titles or had information added to them to clarify the contents.

Scope and Contents

The Publisher's Office Files focus on requests to reproduce photographs and articles from the magazine in other publications. There are additionally a limited number of files regarding exhibits using photographs owned by Life.

Subseries I.A. Exhibition Files, 1955-1965. 0.25 Linear feet in 3 folders

Scope and Contents

The Exhibition Files includes three folders. The materials in these folders focus on the use of Life photographs in exhibits. These exhibits are not curated by or created by Time Inc. or any of its subsidiaries. Included in this subseries are check requisition forms, clippings, expense reports, list of images to be used in exhibits, notes on exhibit attendance and publicity, pamphlets, photographs, and correspondence. The correspondence included in this subseries was mostly sent to or from Ruth Fowler who was  Life assistant publisher and letters department manager from 1960 to 1972. The correspondence discusses photos on loan, the use of paintings and transparencies, licensing for exhibit, and the insurance for photos and paintings. Because of the limited nature of this subseries, it is unclear if these folders were part of Fowler's personal files or belong to some other group of records within the publisher's office.

Subseries I.B. Photograph Rights and Reproductions Files, 1967-1970. 3.25 Linear feet in 4 record cartons

Scope and Contents

The Photograph Rights and Reproductions Files contain materials from 1969 to 1970 and focus on the use and reproduction of photographs and images that Life had the rights to. The majority of materials in this subseries are correspondence but there are also routing forms, invoices, photo lab forms, clippings, and photos. The correspondence was mainly sent to and from Vassillia Moore and Ruth Fowler. Moore appears to have worked in the publisher's office, based on documents within the subseries, but it is unclear what position she held and she is not included in any departments heads lists. Fowler was  Life assistant publisher and letters department manager from 1960 to 1972. The Correspondence generally contain requests for the use of images, photos, and transparencies as well as requests for reproductions of those materials.

Scope and Contents

The Business Office series covers the period of 1937 to 2000 and focus on Life's finances as well as agreements between  Life and non Time Inc. organizations. These agreements were about a variety of topics but mainly focus of joint projects or the use of images or characters owned by an outside organization. Included in this series are clippings, cd roms, contact lists, financial statements and reports, notes, lists of photographers and rights, organizational charts, presentations, promotional materials, and correspondence.

Subseries II.A. Business Manager Nancy Phillips Files, 1976-2001. 1.25 Linear feet in 4 record cartons

Biographical Note

Nancy Phillips began working for Time Inc. in 1987 as the assistant circulation director at People. It is unclear how long she remained in this position before moving to  Life. At some point between 1987 and 1993, Phillips began working for  Life as magazine's general manager then later became the business manager. Based on her files, Phillips remained with  Life through at least 2001. It is unclear what position she held after this or if she remained with Time Inc. at all.

Scope and Contents

Business Manager Nancy Phillips's files document the organization of the business department as well as the finances of Life during her tenure. The materials that date earlier than 1987 likely were sent to Phillips as references to assist her with her work. Included in her files are budgets, circulation reports, financial statements and reports, lists of staff and responsibilities, organizational charts, quarterly financial analysis presentations, sales presentations, strategic plans, and correspondence. The correspondence included with this subseries discusses advertising rates, taxes, revenue, budgets, financial reports, and staffing. She also has memoranda and reports on the finances of Life Picture Sales sent by Time-Life Syndication within Editorial Services.

Subseries II.B. Office Files, 1969-1979. 0.35 Linear feet in 2 record cartons

Biographical Note

Winston Cox worked in the Comptroller's Office from 1969 to 1971. From 1969 to 1970, he was administration assistant but was promoted to director of budgets and financial analysis in 1970. In 1972, Cox moved to Life and became business manager. He remained in this position until 1974 when he became general manager of Business Development.

George Dowling worked as business manager at Life from 1969 to 1970. It is unclear what position he held between 1970 and 1972 at which point he left Time Inc.

Bob Cowin was Sports Illustrated circulation manager from 1964 to 1966. At this time, the title was changed to circulation director and he continued in this position until 1969. In 1970, Cowin became administrative assistant for circulation within the Corporate group. He remained in this position until 1972 when he joined  Life as assistant publisher, a positiom he remained in until 1974 when he left Time Inc.

Mary Davis served as Life business manager from 1978 to 1982 at which time she became general manager. She remained in this position until 1987 when she joined the Magazine Publishing group and became vice president of magazine manufacturing services.

Priscilla Ricciardi can only be found in the department heads list in 1974 when she served as assistant business manager in Magazine development.

Scope and Contents

The Business Manager Office files covers the period of 1969 to 1979 and includes materials from a variety of Life Business Department staff. The names that appear most often are Winston Cox, George Dowling, Bob Cowin, Mary Davis, and Priscilla Riccardi. Included in this series are reports on the average circulation of magazines, notes, budget reports, sales analysis reports, reports on newsstand revenue, clippings, ad rate cards, press releases, lists of Life staff, and correspondence. The correspondence in this subseries discusses circulation statistics, subscription rates, budgets, and ad sales and revenue.

Scope and Contents

The Business Manager Photograph Licensing files cover the period of 1971 to 2000 and focuses on agreements concerning joint projects between Life and outside organizations as well as on licensing agreements. These licensing agreements usually concerned the use or reprinting of an image or photographs either by  Life or another organization. Included in this subseries are  Life sales reports, contracts, notes on sales report, clippings, reports on costs of production, cd roms, contact lists, lists of back issue dealers, photographs, promotional materials, lists of photographer and rights, tax forms, trademark guidelines, lists of agreements, and correspondence. The correspondences discusses the  Life century book, purchase orders, permission for the use of photographs, photographer policy statements, and reprinting pictures.

Scope and Contents

The Financial Statement subseries covers the period of 1937 to 1970. Included in this series are financial statements, budget reports, budget forecasts, budget estimates, mechanical budgets, and operating statements. While the materials are grouped together, it is unclear which office they originated from since there are a variety of names listed on the documents. Some items indicate that the reports were for the business office but do not indicate a specific office of origin or owner. Since much of the material was originally housed in binders, the materials have been removed from the binders and placed in folders. If the binders had distinguishing traits, such as bearing with details about the binder's origins, then that binder was kept. All other binders were removed from the collection. If a binder had a title on it, that information was used as the folder's title. If no title was provided then the name of the report was used for the title.

The Life Advertiser Record Cards are on microfilm. The dates refer to the original material and not the creation of the microfilm. The domestic advertisers are on fourteen reels and list ads from the original American edition. The international advertisers are on four reels and list ads from international editions. Each record card contains the date of issue for the advertisement, size of ad, if it is in black-and-white or color, and the cost.

The microfilm is grouped by domestic and international. Within each group, organized alphabetically by name of company or organization placing ad, not the name of the product.

Historical Note

Based on department heads lists, the Market Research was a department within advertising promotion and circulation from 1949 to 1953. In 1954, these two separate departments were consolidated into one Market Research department but this department disappears from the department heads lists in 1964. Since much of the work done by Market Research overlapped with the work done in the Circulation department, it is believed that Circulation absorbed Market Research. Market Research and Circulation also tended to work conjointly on research projects.

Scope and Contents

The Market Research Department Files include materials from 1946 to 1970 and focus on researching circulation statistics. Included in this series are reports on direct mail coverage, reader survey results, sales statements, notes, list of places with special newsstand introduction offers, distribution formula test instructions, store surveys, wholesale estimates, lists of sale sites, newsstand schedules, reports on sales developments, reports on turnover experiment results, reports on sales, reports on newsstand buyers of life, reports on direct sales, stockholder studies, reports on the attitude toward Life, reports on attitudes to proposed time/life record library, reports on subscriber attitudes, study of readership among college students, subscriber surveys, reports on subscriber characteristics, statistics sheets, contracts, clippings, and correspondence. The correspondence in this series discusses newsstand buyers, life readership, newsstand buyer characteristics, formula tests, delivery schedules, issue test sites, posters used at test sites, sales developments, the importance of small dealers in sales, analysis of subscribers, and saturation tests.

Series V. Advertising Copy Acceptance Files, 1946-1975. 0.35 Linear feet in 3 record cartons

Historical Note

While the Advertising Copy Acceptance department is believed to have existed since the beginning of Life, it is unclear which department it resided in. The first time that the department is listed in the department heads list for Time Inc. is in 1964. Prior this point, the department could have been part of Advertising Sales or the department known as Makeup and Advertising Records which only appeared in the department heads list from 1960 to 1962.

Scope and Contents

The Advertising Copy Acceptance Files covers the period of 1946 to 1975 and focuses editing and approving the text that would appear in ads featured in Life. Included in this series are clippings and correspondence. The correspondence discusses the use of ads, the text to be included in ads, complaints about ads, and changes to be made to ads.

Series VI. Marketing and Sales Files, 1967, circa 1986. 1.55 Linear feet in 1 record carton, 1 flat box

Scope and Contents

The Marketing and Sales Files consists of two binders. The "Facts of Life" binder contains memoranda and reports sent to Sam Wilson, a salesman, and includes data about circulation, audiences, subscribers, newsstand sales, advertising pages and revenues, rates, and production. These records seem to relate more to sales of the magazine rather than sales of advertising although it could be about ad sales. The materials in the binder have been rehoused in folders, and the binder cover retained separately.

The 1967 binder does not have a title, but includes information about Life's editorial aims and examples of the materials in  Life. It looks like these were used to market the magazine.

Series VII. Public Relations Department Files, 1978-1998. 0.25 Linear feet in 1 record carton

Scope and Contents

The Public Relations Department files cover the period of 1978 to 1998 and focus on exhibits as well as mentions of Time Inc. in the media. The files concerning exhibits are have two separate focuses. One of the focuses is on exhibits created for Alfred Eisenstaedt and the other is on images and photos featured in Life. The Eisenstaedt exhibit appears to have been created by  Life while the exhibit of  Life appears to be created by an outside organization. Included in this series are clippings, press releases, photographs, notes, and correspondence discussing exhibits, reproductions, and the use of photographs.

Biographical / Historical

According to a memorandum transferring the files to the Time Inc. Archives, these files are part of the Newsstand Department, which was retail sales, with several regarding the Retail Auxilliary Display Program. This program seems to be managed by the Newsstand Department.

Newsstand Department Records include materials on the placement and sale of Life from store displays, not subscribers.

Biographical Note

Bruce Barnet was the final Circulation Director for Life before publication was suspended at the end of 1972. Based on his records, he may have joined  Life in mid-1972 and stayed on through 1973 to close out business. After finishing his work with  Life, Barnet transferred to  Sports Illustrated to serve as Circulation Director. For the rest of his career at Time Inc., he held positions in Corporate Circulation and the Magazine Development Group and served as the Magazine Group Vice President of Planning.

Scope and Contents

Bruce Barnet's files document his short term as Life Circulation Director during the final months of publication and after publication was suspended. His files include some materials from earlier years that may have been used by him as reference. His records document some evaluation of the financial issues of  Life and the slowness of subscription refunds and subscription transfers including a lawsuit regarding these problems.
